Google Forms alternative: when a fixed form stops getting you usable answers

Keep Google Forms for internal questionnaires, sign-ups and anything where a short answer is good enough. Move to Acquainto when the person answering is a client or a prospect, and a vague answer means you have to call them anyway.

The short answer

  • Google Forms is the better tool for collecting simple answers cheaply, straight into a spreadsheet you already use.
  • Acquainto is the better tool for intake, quoting and lead qualification, where each answer has to be specific enough to act on.

Where Google Forms is better than Acquainto

  • Cost. Forms comes with every Google Workspace plan, so if your business runs on Workspace it costs nothing extra. Acquainto is a paid product after its trial.
  • Google Sheets. Responses land in a linked spreadsheet with no setup. Acquainto delivers by webhook, which needs somewhere to receive it.
  • Familiarity. Your team can build a Google Form in minutes, and most people answering have filled one in before.
  • File uploads. Google Forms accepts them, though the respondent has to sign in to a Google Account to upload. Acquainto does not take file uploads at all.
  • AI for the builder. On Business Standard and above, Gemini can draft a form from a prompt and summarize text responses.

What a fixed form cannot do

A Google Form asks the questions you wrote, in the order you wrote them, and accepts whatever comes back. Branching can choose the next question from a previous choice, but nothing reads a typed answer and notices that “a few rooms” is not a number or that “soon” is not a date. That is the gap that turns a submitted intake form into a follow-up call.

Acquainto runs the same questions as a conversation instead:

  • It asks again when an answer is incomplete, and offers a choice where precision matters — “under 10, 10 to 20, or more than 20” instead of an empty box.
  • You describe what you need to find out in plain language. There is no form builder and no branching to maintain.
  • The person answering sees every answer before it is sent and can edit any of them, and is told who gets the answers before the first question.
  • What comes back is one clean value per question, by webhook, ready for your own columns.

Which should you choose?

Stay with Google Forms if:

  • the answers are simple — a name, a choice, a date — and a short reply is a usable one;
  • you need file uploads, or you want responses in Sheets with no setup at all;
  • the form is internal, and nobody loses a sale if it is answered vaguely.

Choose Acquainto if:

  • the person answering is a client or prospect, and an incomplete answer means a call before you can start;
  • you are qualifying leads or pricing work, and the details that change the answer are the ones people type vaguely;
  • you want the answers delivered into your own systems as structured values.
