An event registration form that tells sales who to meet

An event registration list is usually names and email addresses, and the sales team finds out who was worth meeting after the event is over. A registration form can ask what someone does, where they work and why they are coming, without making signing up any harder.

What should teams running business events ask first?

AskWhy it matters
What is your name and work email?The domain identifies the company before anyone looks it up.
What is your role?It tells you who is a buyer, who is a user and who is there to learn.
What are you hoping to get out of the event?An attendee who names a problem is a conversation worth booking.
Which sessions are you planning to attend?Session choices show interest more honestly than a checkbox does.
Would you like to book time with our team while you are there?An opt-in meeting request is the most direct signal an event produces.
Do you have any dietary or access needs?The practical question still belongs on the form, at the end.

If an answer would not change what you do next, leave the question out. Each extra question is one more reason for someone to stop before they finish.

Which answers come back too vague to use, and what do you ask next?

The answers that cause a phone call are rarely missing. They are present and too loose to act on. A narrower follow-up, asked straight away while the person is still there, usually settles them. Offering likely answers shows the person the level of detail you need.

What comes backThe follow-up that settles it
“Networking.”Is there a kind of person you are hoping to meet, or a problem you want to hear how others solved?
“I work in operations.”Do you run the team, or work in it, and roughly how big is it?
“Maybe a meeting.”What would you want to cover, so we can bring the right person?

Follow up once per gap, then move on. If an answer is still unclear after one follow-up, flag it for whoever picks the request up rather than pressing.

When is a call or a visit still the right move?

Registration does not replace the conversation at the event. It decides who the sales team looks for there, and which attendees hear from someone before the event, while there is still time to book a meeting.

How do you set this up from the Event registration template?

Acquainto has a Event registration template to start from. After you sign up, open Browse templates, pick Event registration, and it lands in the editor as a draft you can change before anything is published.

The template is built for a simpler job. It asks for a name and email, which session the person is registering for (morning, afternoon or both), dietary restrictions and anything else to know, and it does not branch. Rename the sessions to your agenda, and add the role, the reason for coming and the meeting question before the dietary one.

Acquainto runs it as a short written conversation instead of a form. It:

  • asks a follow-up when an answer is incomplete, and asks for clarification when one is vague;
  • uses a structured choice where precision matters and open conversation where detail matters;
  • shows the person every answer before it is sent, so they correct their own mistakes;
  • hands back one clean value per question, delivered to your own systems by webhook.

The person answering needs no account, and nothing has to be scheduled. Start free trial, see how it works, or compare plans.
